Supplier self-assessment scorecards provide a structured way to evaluate suppliers based on their self-reported data
These assessments help organizations measure supplier compliance, risk, sustainability, and overall performance. This guide outlines the step-by-step process of sending, reviewing, and scoring supplier self-assessment scorecards.
When to Use This Feature
When assessing a supplier’s compliance, risk, sustainability, or performance etc.
When ensuring suppliers meet internal evaluation standards.
When maintaining historical supplier performance records.
Step-by-Step Guide
Step 1: Sending a Self-Assessment Scorecard to a Supplier
Navigate to the Supplier Management section from the main menu.
Open the Suppliers page to view all supplier records.
Select the supplier you want to evaluate and open their profile.
Click on either the Scorecards, Performance, Sustainability, or Risk tab, depending on the type of scorecard you wish to send.
Click the Send Scorecard To Supplier button.
Choose an already built self-assessment scorecard from the list.
You can send multiple scorecards under one request. Simply check which scorecards to include and click the Add Scorecard button above the table.
To review the contents and weighted scoring of a scorecard, click the eye icon next to the scorecard name.
All selected scorecards will be listed in the table below.
If needed, create new scorecards under the Supplier Scorecards module before sending.
Click the Send to Supplier button to proceed.
Step 2: Selecting the Supplier Contact
A popup will appear, allowing you to choose which supplier contact will receive the request.
The selected contact will receive an email notification and be able to complete the self-assessment scorecard within the supplier portal.
Click Send To Supplier to finalize the request.
The supplier can now log into their supplier portal and begin their response.
Step 3: Reviewing and Scoring Supplier Responses
Once the supplier submits their self-assessment, you will receive an email notification and an in-system notification.
Navigate back to the Scorecards tab in the supplier’s profile.
Locate the completed scorecard in the table.
Under the Actions column, click Score Responses to begin evaluation.
Review the supplier’s responses, checking for compliance with internal standards and identifying potential risks.
Assign a score between 0 and 5 for each criterion:
General, Performance and Sustainability Scorecards: 0 = Lowest Score, 5 = Highest Score.
Risk Scorecards: 0 = Low Risk, 5 = High Risk (reversed scoring).
Add comments to document observations or concerns.
Click Save to finalize the scoring process.
Step 4: Viewing and Managing Scorecard Results
The scorecard status will update to Scoring Complete with a percentage score based on weighted scoring.
Use the Scorecard Name dropdown to filter for past self-assessment submissions.
Compare historical data to track supplier performance trends over time.
If necessary, edit comments by selecting the Edit option under the Actions column.
Key Considerations & Best Practices
✅ Select the Right Scorecard Type – Ensure you are sending the appropriate scorecard based on the supplier evaluation needs (Performance, Risk, Sustainability).
✅ Review Responses Carefully – Validate supplier responses for accuracy and alignment with internal standards.
✅ Use Comments for Context – Provide comments when scoring to document insights or flag potential risks.
✅ Monitor Performance Trends – Use historical data to track supplier improvements over time.
✅ Remember Risk Scoring is Reversed – Risk scorecards use 0 = Low Risk and 5 = High Risk, unlike other scorecards.
✅ Ensure All Scorecards Are Fully Completed – Incomplete scorecards cannot be properly evaluated.
