The Give Notice feature in oboloo allows you to quickly record when either your organization or a supplier has formally given notice to end a contract.

This provides clear visibility for your team, helping track contracts under notice during renewals, offboarding, and reporting.

When a contract is marked as notice given, an amber banner appears on the record, a Notice Given column is updated in the Contract Management table, and the Give Notice button changes to Undo Notice. This is an internal tracking tool only — suppliers are not notified automatically.

Automated notifications stop when a contract is marked as Notice Given.

When to Use This Feature

Use the Give Notice feature when:

  • You have received or issued formal termination notice for a contract to the supplier.

  • You want to ensure all team members are aware the contract is ending.

  • You need to track notice-related contracts alongside active ones.

  • You are preparing for renewal discussions or supplier off-boarding.

  • You require a clear record in the audit trail of when notice was given.

Step-by-Step Guide – Giving Notice on a Contract

1. Access the Contract Record

  • Go to the Contract Management module.

  • Locate the contract using the search bar or filters.

  • Click on the contract to open its record page.

2. Give Notice

  • On the Contract Summary Card, click the Give Notice button (amber button, located after the Edit button).

  • Review the confirmation modal explaining what giving notice means.

  • Click Yes, Give Notice to confirm.

3. View the Updates

  • The Give Notice button changes to Undo Notice.

  • An amber banner appears at the top of the record stating:
    “Notice has been given on this contract by [username] on [date]”.

  • A ✔ tick icon appears in the Notice Given column in the Contract Management table.

Step-by-Step Guide – Undoing Notice on a Contract

1. Access the Contract Record

  • Go to the Contract Management module.

  • Open the contract currently marked as Notice Given.

2. Undo Notice

  • On the Contract Summary Card, click the Undo Notice button.

  • Review the confirmation modal explaining what undoing notice means.

  • Click Yes, Undo Notice to confirm.

3. View the Rollback

  • The Undo Notice button changes back to Give Notice.

  • The amber banner is removed from the record.

  • The ✔ tick icon is removed from the Notice Given column in the Contract Management table.

Visibility

  • The Notice Given status appears in a dedicated column in the Contract Management table.

  • This column can be sorted and filtered but is not shown by default.

  • Contracts marked as Notice Given remain Active unless otherwise changed.

  • Both Active and Active (Notice Given) contracts appear in metrics, charts, and dashboards.

Key Considerations & Best Practices

Permission Control – Only users with contract edit rights can give or undo notice.
Audit Trail – All notice actions are recorded in the contract’s Change Log with user, date, and time.
Internal Tracking Only – Giving notice in oboloo does not send notifications to suppliers.
Use with Filters – Use the Contract State filter to view contracts with Active (Notice Given) status.
Include in Reporting – The notice flag is included in contract exports and the API (Get Contracts).
