oboloo saves a new sourcing activity as a Draft as soon as you complete the Activity Overview step, so you can close the wizard and finish it later. This guide shows procurement users how drafts are saved and how to resume one.

Before you start

Only users whose role lets them create sourcing activities can create and resume drafts, and you'll only see drafts you have record access to.

Save a sourcing activity as a draft

Start a new sourcing activity

Go to Sourcing > eSourcing and click Create Sourcing Activity.

Choose your areas and click Next

On the Sourcing Wizard step, select the areas to include and click Next. Nothing is saved yet at this point.

Complete Activity Overview and click Next

Fill in the required details and click Next. oboloo now saves the activity as a Draft.

Click Next on each step you complete

Each later step (for example Pricing, Supporting Documents or Request Documents) is saved when you click Next. Anything you've entered on the current step is lost if you leave before clicking Next.

Close the wizard

Click the close (X) icon in the top-right corner of the wizard. Your draft keeps everything up to the last step where you clicked Next.

Resume a draft

Find the draft

Go to Sourcing > eSourcing. In the Sourcing Activities table, drafts have a Draft status. To list only drafts, select Draft in the Status filter.

Open the draft

Click the activity title, or click the actions menu (⋮) and select View. The wizard opens with your saved details.

Check where the wizard has opened

The wizard skips ahead past the steps that already have saved content. Use Previous and Next to move between steps and review your work.

Finish and send the activity

Complete the remaining steps. On Invite Suppliers, click Send To Suppliers, tick I understand that I cannot change the activity after sending the invitation, then click Confirm And Send.

📌 Important: If you go back to the Sourcing Wizard step and untick an area that already has content, oboloo asks you to confirm. Clicking Confirm permanently removes the sections in that area from the draft.

What happens next

  • While it's a draft: no supplier is emailed, and the activity stays in the table with a Draft status.

  • When you send it: the activity is no longer a draft, each invited supplier contact is emailed an invitation, and you can't make further changes to it.

  • Other users: anyone with record access can open the draft from the table and carry on building it.

💡 Note: If you chose to make changes before reopening an activity, those changes aren't kept as a draft. They're discarded if you leave the wizard before sending.

Troubleshooting

My draft isn't in the Sourcing Activities table

  • A draft is only created once you click Next on Activity Overview. If you closed the wizard before then, nothing was saved.

  • Clear any filters, or select Draft in the Status filter.

  • If the draft is restricted, you need record access to see it. Ask its creator or an administrator.

The wizard opened at a different step from where I stopped

oboloo works out where to resume from the content you've saved, so it can open at an earlier step, for example if you added no supporting documents. Click Next to move forward; your saved content is still there.

Some of my changes are missing

Changes are only saved when you click Next on a step. Re-enter them and click Next before you close the wizard.

I want to delete a draft I no longer need

There's currently no option to delete a draft sourcing activity. Suppliers are only contacted when you click Confirm And Send, so an unused draft doesn't affect anyone outside your organisation.
