Step-by-Step Guide: Creating a Supplier Questionnaire

Step 1: Navigate to Supplier Questionnaires

  1. Click on Sourcing in the left-hand menu.

  2. Click on Supplier Questionnaires.

  3. Click on "Create New Supplier Questionnaire" above the main table.

Step 2: Define Questionnaire Details

  1. Enter a Title – This allows your organization and suppliers to easily identify the questionnaire.

  2. Create a Category/Area – Categories act as sections of the questionnaire, helping structure responses.

  3. Assign a Weighted Score – Each category can be weighted 0-100% to prioritize importance during evaluation.

📌 Weighted scores are NOT visible to suppliers.
  1. Add a Question – Suppliers will respond to each question in free-text format.

  2. Add More Questions – Click "Add Question" to include multiple questions under a category.

  3. Add More Categories – Click "Add New Category/Area" to structure the questionnaire further.

📌 Tip: Ensure all weighted scores across categories add up to exactly 100% before saving.

Step 3: Save the Questionnaire

  1. Click "Save" to create the Supplier Questionnaire.

  2. The questionnaire is now available for use in sourcing activities.

Managing a Supplier Questionnaire

Viewing & Editing a Supplier Questionnaire

  1. Expand the Actions Menu in the Supplier Questionnaires table.

  2. Click "View" to open the questionnaire.

  3. Make necessary edits (only the creator can edit the questionnaire).

  4. Click "Save" to apply updates.

📌 Note: If you need to modify a questionnaire created by another user, you must clone it (see below).

Cloning a Supplier Questionnaire

  1. Expand the Actions Menu in the Supplier Questionnaires table.

  2. Click "Clone" to duplicate the questionnaire.

  3. The system will create a new questionnaire copy, which you now own.

  4. Modify the cloned questionnaire as needed.

  5. Click "Save" to finalize the new questionnaire.

📌 The original questionnaire remains unchanged and active. If necessary, it can be archived.

Archiving a Supplier Questionnaire

  1. Expand the Actions Menu in the Supplier Questionnaires table.

  2. Click "Archive".

  3. Click "Yes" to confirm.

📌 Archived questionnaires are NOT deleted. They can be restored at any time.

Unarchiving a Supplier Questionnaire

Step 1: View Archived Questionnaires

  1. In the Supplier Questionnaires table, locate the "Archived Status" filter.

  2. Select "Archived" to display archived questionnaires.

Step 2: Unarchive a Questionnaire

  1. Expand the Actions Menu next to the archived questionnaire.

  2. Click "Unarchive".

  3. Click "Yes" to confirm.
