The Packages sub-module in oboloo’s Supplier Onboarding module allows you to create reusable onboarding packages that combine document requests and scorecard (questionnaire) requests.

By using Onboarding packages, you can eliminate repetitive setup when onboarding new suppliers. Instead of each time manually selecting each document and scorecard, you can choose from a predefined package that’s appropriate to the supplier type (e.g., IT, Construction, Marketing) and send all required requests in one action.

Packages are fully customisable, can be duplicated for faster setup, and can be enabled or deactivated depending on your organisation’s needs.

When to Use This Feature

Use the Packages feature when:

  • You want to streamline supplier onboarding by reusing standard document and scorecard sets.

  • You regularly onboard suppliers of the same type and need a consistent request process.

  • You want to reduce setup time by avoiding repetitive manual selections.

  • You need to centrally manage onboarding templates for all onboarding users.

  • You require consistency in supplier data and performance evaluation.

Step-by-Step Guide – Managing Supplier Onboarding Packages

1. Access the Packages Sub-Module

  • Go to Supplier Management from the left-hand main menu.

  • Click on Onboarding Packages to open the Onboarding Packages module.

2. Create a New Package

  • Click the Create Package button.

  • Page 1 – Package Details:

    • Package Name – Enter a clear, descriptive name (e.g., IT Supplier Package).

    • Package Description – Provide an overview of the package’s purpose.

  • Page 2 – Document Requests:

    • Select the documents you wish to include in the package and include notes for the supplier to read per document. You can also attach a document per document request if you need to (e.g. an NDA for the supplier to sign).

    • You can choose to include no documents if not needed.

  • Page 3 – Scorecard Requests:

    • Select scorecards from the existing list (e.g., IT Questionnaire, Sustainability Assessment).

    • You can choose to include no scorecards if not needed.

  • At least one document or one scorecard must be included to create the package.

  • Click the Create button to create the package.

3. Manage Existing Packages

You can manage all onboarding packages via the main onboarding packages table. Navigate to the far right-hand side of the table under the Actions column.

  • Edit – Update the name, description, or included document/scorecard requests.

  • Enable/Deactivate – Toggle the package’s availability. If disabled, users will not be able to select the package when onboarding new suppliers.

  • Clone – Duplicate an existing package for quick setup of a similar one (rename before saving).

4. Search and Filter Packages

  • Use the search box above the main table to find packages by name, description, user and date.

  • Filter by Created By or Status (Enabled/Deactivated).

  • Use Clear Filter to reset all filters.

5. Use a Package During Supplier Onboarding

  • Go to a supplier’s onboarding page (Supplier Management > Supplier Onboarding >Supplier's onboarding page)

  • Click the green Send Onboarding Package.

  • Select from the list of enabled packages.

  • A preview will display all documents and scorecards included in the package (all are pre-selected by default).

  • De-select any items (documents and/or scorecards) you do not wish to request.

  • Click the Choose Contact to Send To button and select a supplier contact.

  • Send the package by the clicking the green Send button – a success message will confirm it has been sent, and the supplier will be notified.

  • The supplier can immediately being uploading the requested documents from the package and responding to and scorecards requested. The onboarding owner and any linked supplier owners will receive notifications as soon as the supplier submits any requested information.

Key Considerations & Best Practices

Standardise Processes – Use packages to maintain consistent onboarding requirements.
Review Regularly – Keep package contents up to date with policy changes.
Use Cloning – Save time by cloning and modifying existing packages instead of starting from scratch.
Assign Permissions – Only authorised users should manage packages to maintain control.
Pre-Select All Items – Packages default to all items selected for sending; deselect only what is not required.
